Dining By Darke – Bespoke Catering & Private Chef Services (UK)

By booking our services, you confirm that you have read, understood, and agree to these Terms & Conditions.

These Terms apply to all services provided by Dining By Darke (“we”, “us”, “our”) to the client (“you”, “the client”), including weddings, corporate events, private home dining, and other bespoke catering services.

 

1. Services

1.1. We provide tailored catering services including:
1.1.1. Weddings, engagement parties, and receptions
1.1.2. Corporate events, conferences, and client entertaining
1.1.3. Private home dining, including in-home private chef services
1.1.4. Special occasions and bespoke events

1.2. All services are bespoke, including menu design, staffing, and event execution.

1.3. We reserve the right to make reasonable adjustments to menus due to:
1.3.1. Ingredient availability
1.3.2. Seasonal changes
1.3.3. Dietary requirements

2. Bookings & Confirmation

2.1. Bookings are confirmed only when:
2.1.1. Written confirmation has been issued by us
2.1.2. The required deposit has been received

2.2. Tentative, verbal, or provisional bookings are not guaranteed.

2.3. Confirmation includes:
2.3.1. Event date and time
2.3.2. Venue
2.3.3. Menu and dietary requirements
2.3.4. Number of guests
2.3.5. Staffing requirements
2.3.6. Total cost

3. Pricing & Payment

3.1. All prices are quoted in GBP (£) and are based on the agreed menu, number of guests, and services requested.

3.2. A non-refundable deposit of 40% of the total booking cost is required to secure your booking.

3.3. Remaining balances are due no later than 14 days before the event.

3.4. Late payment may result in cancellation or refusal to provide services.

3.5. Additional charges may apply for:
3.5.1. Extra guests beyond the confirmed number
3.5.2. Changes to the menu after confirmation
3.5.3. Extended hours of service
3.5.4. Additional staff, equipment, or specialised services
3.5.5. Travel costs outside [insert area/radius]

4. Cancellations

4.1. Client Cancellation

4.1.1. Deposits are non-refundable.
4.1.2. Cancellation more than 14 days before the event: no further charges beyond deposit.
4.1.3. Cancellation within 14 days of the event: up to 100% of the total booking value may be charged.

4.2. Our Cancellation

4.2.1. In exceptional circumstances (illness, emergency, supplier failure, or other unavoidable events), we may need to cancel.
4.2.2. We will make reasonable efforts to provide a replacement chef or service.
4.2.3. If this is not possible, a full refund of all payments received will be issued.

5. Guest Numbers

5.1. Final guest numbers must be confirmed [number] days before the event.

5.2. Charges are based on this confirmed number and cannot be reduced after this point.

5.3. Additional guests may be accommodated at our discretion and will incur additional charges.

5.4. Children under 12 may be charged at a reduced rate or accommodated as agreed in advance.

6. Dietary Requirements & Allergies

6.1. All dietary requirements and allergies must be communicated in writing prior to the event.

6.2. While every precaution is taken, we cannot guarantee an allergen-free environment.

6.3. We accept no liability for allergic reactions or illness where full information has not been provided.

7. Client Responsibilities

7.1. Clients must ensure:
7.1.1. The venue or home is safe, suitable, and legally compliant for catering services
7.1.2. Access to all necessary utilities (water, electricity, kitchen facilities if required)
7.1.3. Any necessary permissions, licences, or approvals are in place
7.1.4. Guests behave safely and respectfully

8. Equipment & Property

8.1. Any equipment, tableware, or items provided by us remain our property.

8.2. Clients are responsible for loss or damage caused by themselves, guests, or third parties, excluding fair wear and tear.

8.3. Equipment brought to the venue must comply with UK safety standards.

9. Staffing

9.1. We provide trained staff appropriate to the size and nature of the event.

9.2. Staffing levels will be agreed at the time of booking.

9.3. Additional staff may be requested and will incur extra charges.

9.4. We reserve the right to replace staff in the event of illness, emergency, or other unavoidable circumstances.

10. Health, Safety & Hygiene

10.1. We comply with all applicable UK food safety, health, and hygiene regulations.

10.2. We reserve the right to refuse or cease service if conditions are unsafe, unsanitary, or illegal.

10.3. Clients must ensure that any pets, hazards, or unsafe conditions do not interfere with the safe operation of our services.

11. Force Majeure

11.1. We are not liable for failure or delay in performing services caused by circumstances beyond our reasonable control, including but not limited to:
11.1.1. Extreme weather conditions
11.1.2. Government restrictions or public health emergencies
11.1.3. Strikes or labour disputes
11.1.4. Supplier or transport failures
11.1.5. Power outages or infrastructure issues

12. Liability

12.1. Our liability is limited to the total value of the services provided.

12.2. We are not liable for indirect, consequential, or economic losses, including loss of enjoyment or profit.

12.3. Nothing in these Terms excludes liability where prohibited by UK law.

13. Photography & Marketing

13.1. We may photograph or film our food, staff, and event setup for marketing purposes.

13.2. No identifiable images of guests will be used without consent.

13.3. Clients may request restrictions on marketing use in writing prior to the event.

14. Privacy

14.1. Any personal information collected will be processed in accordance with UK GDPR and our Privacy Policy.

14.2. Information will only be used for providing services and marketing with consent.

15. Intellectual Property

15.1. Menus, recipes, branding, and materials remain the intellectual property of Dining By Darke.

15.2. Clients may not reproduce, share, or sell materials without permission.

16. Governing Law

16.1. These Terms and Conditions are governed by the laws of England and Wales.

16.2. The courts of England and Wales have exclusive jurisdiction.

17. Acceptance

17.1. By proceeding with a booking, you confirm that you have read, understood, and accepted these Terms and Conditions in full.
